How can I change a customer/company on a sales invoice?

Updated over 3 months ago

💡 The customer listed on the invoice is automatically copied from the linked sales order. To change the customer on the invoice, you must first update the customer in the sales order. Follow the steps below:

  1. Remove the sales order from the invoice.

  2. Cancel the sales order back to Sales ‘In Order’.

  3. Update the company/customer in the sales order and move it forward again to ‘Billable Sales’.

  4. Open the original invoice, change the company, and re-add the updated sales order.

  5. Post the invoice again.

Remove the sales order from the invoice

⇢ Go to Invoicing - Sales invoices and open the invoice.

  • From the menu icon at the top right, click Remove Shipments/Receptions.

  • In the pop-up, check the line(s) of the sales order and click Remove.

Cancel the sales order

⇢ Go to Logistics - Orders and open the All tab.

  • On the order line, click the green circular arrow to cancel the order one step back.

⇢ Then go to Sales - Orders and open the In Logistics tab.

  • On the order line, click the green circular arrow again to cancel the order back to Ordering.

Change the company in the order

⇢ Go to Sales - Orders and open the Ordering tab.

  • Open the order and update the company and, if needed, the address.

  • Confirm the order again until it reaches Billable sales transactions.

⚠️ Do not create a new invoice! The order will be re-linked to the existing invoice.

Link the order in the original invoice

⇢ Go to Invoicing - Sales invoices and open the original invoice.

  • Update the company in the invoice as well.

  • From the menu icon at the top right, click Add Shipments/Receptions.

  • In the pop-up, check the line(s) of the sales order and click Add.

  • Finally, book the invoice again.
