Invoicing - Billable sales transactions

Creating sales order invoices

Create an invoice from a single order

  • Click on the order line and then on the green invoicing icon.

πŸ’‘ In the popup you will see an overview of the documents that will be included in this invoice. Here you can check whether all shipments and receipts from the order will be invoiced.

πŸ’‘ Click on Invoice to generate the invoice.

Bulk invoicing multiple orders

πŸ’‘ You can also convert multiple sales orders into a recorded invoice in bulk. Select the orders you want to invoice, then click on the menu icon in the top right corner and choose Bulk Invoice.

  • In the popup, you will see how many invoices will be created and recorded.

    • Check and, if necessary, adjust the invoice date.

    • Click Confirm.

πŸ’‘ The invoices will then be generated and recorded. You can now find them under Invoicing – Sales Invoices in the To sent tab.

Review/Complete Sales Invoice

General data

  • Customer: the customer for whom you are creating an invoice.

  • Invoice Date: the invoice date is based on the shipping date of the goods. You can adjust this if needed.

  • Due Date: the date by which the invoice must be paid at the latest. This is automatically calculated based on the chosen invoice date and the payment term set at company level.

Sales Order

πŸ’‘ In this section, you will see a summary of the included sales order(s).

Products delivered to and/or returned by the customer

  • Product: the product that was shipped and/or returned. This value cannot be changed.

  • Quantity: the quantity, expressed in the unit of the product (pieces, liters, kilograms, ...), that was shipped. This value cannot be changed.

  • Price: the unit price, excluding VAT. This price is taken from the sales order.

πŸ’‘ By clicking the padlock icon, the price can be manually overwritten. In that case, the padlock turns orange. The same applies to the discount, deposit, excise duty, and VAT rate.

  • Discount: the absolute or percentage discount is automatically taken from the sales order. To switch between absolute or percentage discount, click the toggle icon in the discount field to adjust the discount type.

  • Deposit (returnable packaging): the deposit amount is automatically taken from the sales order.

  • Excise Duty: the excise amount is automatically taken from the sales order.

  • VAT Rate: the VAT rate is automatically taken from the sales order.

Miscellaneous items not linked to a sales order

πŸ’‘ Miscellaneous lines entered in the sales order are automatically carried over. You can still add additional lines.

⚠️ The products you sell through miscellaneous lines are not deducted from stock. Therefore, use miscellaneous lines, for example, to charge optional costs that you have not created as products.

  • Description: a clear description of what is sold or credited. This description will also appear on the invoice.

  • Quantity: the number of times the miscellaneous line is charged. In the description, you can optionally specify the unit being used.

πŸ’‘ To charge the amount, enter a positive quantity.
πŸ’‘ To deduct the amount, enter a negative quantity.

  • Price: the unit price, excluding VAT.

  • Discount: the absolute or percentage discount that you can optionally apply. To switch between absolute or percentage discount, click the toggle icon.

  • VAT Rate: the standard VAT rate is always 21%. For certain goods and services, an exception applies.

VAT Specifications

πŸ’‘ In this section, you can indicate that an invoice does not fall under the standard VAT system. Consult your accountant if in doubt.

  • Reverse charge: applies to construction works related to immovable property, and only for professional purposes.

  • VAT-exempt: applies if the transaction is exempt from VAT. The legal basis for the exemption must be described in detail.

  • Import with VAT payment: applies to the import of goods from a non-EU country, where VAT is generally due. In this case, it concerns goods that a customer returns and must be credited.

Remarks

  • Remark: the remark is automatically carried over from the sales order and displayed on the invoice. You can still edit it if needed.

Discounts

  • Commercial discount: a percentage discount applied to the full taxable base of this invoice.

πŸ’‘ If a standard commercial discount has been set at company level, it will automatically appear here. You can, of course, adjust it per invoice.

  • Financial discount: a percentage discount applied to the full taxable base of this invoice.
    πŸ’‘ This discount, also called early payment discount, only applies if the customer pays within the specified payment term.
    πŸ’‘ If a standard financial discount has been set at company level, it will automatically appear here. You can, of course, adjust it per invoice.

  • Term financial discount: the number of days within which the financial discount remains valid.

πŸ’‘ If a standard term has been set at company level, it will automatically appear here. You can, of course, adjust it per invoice.
πŸ’‘ As legally required, the VAT amount in the case of a financial discount is always calculated on the taxable base including this discount, even if the payment term for the discount has expired.

Totals

  • Green box: here you can see the total amount payable for this order, along with a detailed breakdown of the calculation.

πŸ’‘ You can now either Book the invoice or Save it.

  • Save: not sure about the invoice yet? Save it as a draft. You can edit the invoice later and post it definitively.

  • Save and update company data: have you modified or added customer details after entering the order? Use this option to display the updated data on the invoice. You can then post the invoice immediately or at a later time.

  • Book: when booking the invoice, it will automatically receive the next available invoice number. After that, you can send and further follow up the invoice.
